Privacy Policy

1. Who we are

This Privacy Policy is issued by SYSTEMMIZER SOLUTIONS ("SyokNiaga", "we", "us") in accordance with the Personal Data Protection Act 2010 ("PDPA"), including the amendments under the Personal Data Protection (Amendment) Act 2024. SyokNiaga is the data controller for account and billing data; each subscribing business ("tenant") is the data controller for its own customer and transaction data, with SyokNiaga acting as data processor (see our Data Processing Addendum).

This policy is published in English. A Bahasa Malaysia translation may follow; until then the English text is the operative version.

2. Personal data we collect

• Account data: name, email, phone, password hash, role
• Business data: company name, SSM number, TIN, addresses
• Billing data: plan (including database-space add-ons), invoices, and payment method details tokenized by ToyyibPay — we do not store card numbers
• Usage and device data: logs, IP address, app version, crash diagnostics
• In-app help: tickets and files you attach. We do not run a call centre

3. How we use it

• To provide, secure, and improve the service (POS, invoicing, e-invoice, stock, storefront)
• To bill you and manage your subscription, including the megabyte cap on your tenant database
• To send service announcements and, with consent, product updates
• To meet legal obligations, including LHDN MyInvois record requirements

4. Disclosure

We do not sell personal data. We disclose it only to subprocessors that run the service (cloud hosting, ToyyibPay for payment processing, email delivery), to authorities where the law requires, and to LHDN where you instruct e-invoice submission.

5. Your rights

You may request access to, or correction of, your personal data, limit its processing, or withdraw consent (which may end service access). Write to privacy@syokniaga.com — we respond within 21 days as the PDPA prescribes.

6. Security, space, and retention

Data is encrypted in transit and at rest, and each tenant's data lives in its own database. Photos, PDFs, and attachments are stored in that database and count toward the plan's megabyte cap (Free 50 MB, Pro 100 MB, Plus 200 MB, Business 350 MB, then Business + 100 MB packs). We measure used space from the database size. We are on limited infrastructure and do not offer unlimited storage. We retain data while your account is active and for the statutory periods Malaysian tax law requires after closure.

7. Data breach notification

Where a notifiable breach occurs, we inform the Personal Data Protection Commissioner within 72 hours and affected data subjects without unnecessary delay, per the amended PDPA.
